Mail stuck in Outbox

Things to check when  mail is stuck in your Outbox.mail-stuck-in-outbox-1

1. Are you connected to the server?  A momentary Internet disconnect can sometimes disconnect Outlook (as on a laptop that has been unplugged).

Look on the bottom right of Outlook.  It should look like this (figure 1).  If not, click on the error and uncheck "Work Offline"

 2. Are you sending right away?  Tools... Options... "Send immediately when connected" should be checked. (figure 2)

Close and Re-Open Outlook after doing this.

You can also decide whether the person can edit data or just view the data.

Note: This is different than the 'delegate' feature that allows sending mail on behalf of someone else.

Use 'right-click'... 'Send To'... 'Mail Recipient' to send a specifically re-sized copy for e-mail.

How to open another user's archive (.PST) file

Outlook uses a .pst file to store archived mail.

The built-in archiving process automatically creates and opens the mail folders for you.  They are labeled 'Archive Folders' and the file is saved as 'archive.pst' by default.

 

Here's how to open another user's archive file if it has been given to you:

 

1. Choose File... Open... Outlook Data File (fig a)

2. Browse to the .PST file.  This is normally in your 'My Documents' folder in the 'Outlook' subfolder. (fig b)

How to change the columns in your Inbox

1. Right-click on any column heading and choose 'Field chooser' (fig. 1)
2. Then drag and drop fields into the column heading area. (fig 2.)
3. If you make a mistake right click the column and choose 'Remove this column'

How to allow someone to send mail on your behalf (aka delegate)

To allow someone else to send mail on your behalf you must make them a 'delegate'.

The return address will be your own.  However, if the recipient has Outlook the name will be in the format:

<Assistant> on behalf of <Boss>

Note1: Delegation and access to your Inbox are two distinct features and the one does not imply the other.

Note2: The "on behalf of" designator is a protective feature so the recipient has some idea that these words might not be your own.  "on behalf of" can be removed but only by the system administrator.

(Tech Tip: Excel) Suppress 0 values

Bad: in general for your Excel sessions (independent of the file)

Tools(menu)… Options(menu)… View(tab)… Window Options(area)... Zero values(checkbox)

 

Better: You can use a formula such as

=IF(F7=0,"",F7)

 

Best: You can do it without a formula by formatting the cell with

Format(menu)… Cells(menu)… Number(tab)

Custom:   #,###_);

How to get unique names from a list

1. Open file and click on column A (selects the entire column)

 

2. Then choose Data... Sort and select "header row" (figure 1) and click OK

Now the list is sorted in alpha order

Click menu on the number area and choose "Edit SIM Phone Number" and enter your phone number

If you still don’t see it you may need this too:
At Phone Dialer Screen > Options > General Options > Show My Number = YES.
